When planning an event, it is easy to start with one question: how many promotional products should we order? The expected number of guests is important, but it does not give the full answer. A good order plan also depends on the event goal, the people receiving the products, how they will be given out, and when everything must arrive.
Promotional gifts are not simply extra items placed on a table. At a well-planned event, they can support the theme, create energy, encourage people to join an activity, and give guests something that keeps the event in mind. The right product can also make check-in, a competition, a VIP welcome, or a team activity feel more complete.
Start with the Event Plan, Not the Product List
Before choosing products, think about how they will be used at the event. A gift handed out at registration helps shape the welcome, while a reward for taking part in an activity serves a more focused purpose. Understanding that role first makes it easier to choose a suitable product and decide how many are actually needed.
The quantity should therefore follow the number of people likely to receive the item, rather than the total guest count alone. A welcome gift may need to cover almost everyone, whereas an activity reward will usually be required in smaller numbers. A small allowance for unexpected guests or damaged items provides flexibility without leaving a large surplus after the event.
Seen this way, quantity planning is not about finding one number for the whole event. It is about giving each product a realistic quantity based on the part it plays. This becomes especially important when several items are brought together under one theme.
Different Products, Different Quantities
A themed collection may look like one complete set, but its products do not always need equal quantities. In a football campaign, for example, a drawstring bag could be used to hold the main giveaway for each recipient, while cheering items may only be placed in selected seating or activity areas. Scarves or other higher-value pieces might be reserved for a smaller group.

Treating every item as part of an identical kit would increase costs without necessarily improving the experience. Planning quantities product by product allows the budget to follow the way people will actually take part in the event, while still keeping the overall theme consistent.
Plan Ahead While Guest Numbers Are Still Changing
Event attendance may continue to change as the date approaches, but waiting for the final guest list can leave too little time for customized products. Artwork approval, production, packing, and delivery all need to be completed before the event, so the order quantity usually needs to be confirmed in advance.
The practical solution is to calculate the quantity using the latest attendance estimate and the number of people expected to receive each product, then include a reasonable buffer for small changes. This allows the order to move forward on time without relying on an exact final guest count.
Plan for the Event, Not a Perfect Guest Count
There is no single formula that works for every event, and the goal is not to predict the final attendance perfectly. A sensible order quantity comes from understanding how each product will be used, how many people are likely to receive it, and how much flexibility the event may need.
